Schedule Maintenance Services on State Vehicles

The Motor Pool Program purchases vehicles for state agencies through state-cooperative contracts. 

 

Maintenance for these vehicles is managed through a statewide network of contracted vendors, which state agencies are required to use.  If a contracted vendor is not feasible due to distance, the Vehicle Service Center (VSC) will identify an approved alternative.

 

The VSC is the sole authority for approving maintenance on full-serviced assigned vehicles and offers a 24-hour emergency helpline for towing and repairs.  If you need repairs, towing or service, the VSC is available 24 hours a day to assist you at:

If drivers use an off-contract vendor without prior VSC approval, the full cost of services will be transferred to the driver's agency.

Preventative Maintenance

Is my vehicle due for maintenance services? 

All full-service assigned vehicles are assigned a preventive maintenance schedule based on anticipated usage to extend the vehicle's productive life.  Maintenance schedules are noted at the bottom of the page and are also stored inside the glove box of the vehicle.  

You can also check with your agency's fleet manager.

Tires and Windshields

There are separate contracts for Maintenance, Tires, and Windshields.  If multiple services, including both preventive maintenance and tire-related services, are required, the driver must ensure that the chosen vendor is contracted for both services. If drivers use an off-contract vendor, the full cost of services will be transferred to the driver's agency.

Most tire and glass repair and replacement costs are already covered on full-service assigned vehicles and require approval from the VSC before the service is performed.

For capital-assigned vehicles, repairs and replacements are at the agency's expense and authorization.

Accidents

Drivers of a state vehicle involved in an accident must follow a unique accident procedure with Risk Management. Drivers are required to file an accident report if:  
  • Vehicle vs. Vehicle
  • Vehicle vs. Animal/Person/Object
  • Vandalism
  • Any occurrence of damage, even if the cause is unknown
